Please note that this is an on-site role. Your physical presence in the office is essential to carry out tasks such as reception duties and daily mail management.
**Key Responsibilities**:
**Office management**:
You will:
- Be in charge of the day-to-day office management - e.g. communication with building management and other external administrative services and vendors.
- Supervise the adequate conditions of the office (i.e. cleanliness) and identify areas for improvement and fix them proactively (i.e. plugs, paint,) or propose a course of action to address them (i.e. when non-budgeted needs pop up).
- Take care of food & office supplies replenishment, making sure we have all our needs covered and our premises are in flawless condition, anticipating any needs.
- Work in accordance with ensuring occupational safety standards and operate the office space in accordance with legal rules.
- SPOC for HSE and Fire protection.
- Help with onboarding - ensuring every newbie knows all the information. Follows the instructions of the colleague responsible for the entire onboarding process.
- Take a lead in organization of company events and activities. Proactively proposes possible solutions and becomes the SPOC for any vendors and internal stakeholders to make events/activities a success.
- Help with day-to-day office management - communication with the teams, ordering food and office supplies.
- Owns the Travel policy together with Employee Experience Partner. SPOC for any travel or accommodation bookings outside of the company system.
- Manage the Post (including sending docs/letters as required, i.e. red envelopes) and deliver any letters received to the destinatary
**People Operations**
You will:
- Help to manage contracts from onboarding to offboarding (new employee/contractor, IT tickets, handovers, meeting new joiners for contract signing etc.).
- Ensure filing systems are maintained and up-to-date. Own archive - each document needs to be scanned and properly filed into the HRIS.
- Maintain the HRIS assuring the data accuracy.
- Help Compliance Manager with ad hoc internal audit tasks.
- Manage perks - Multisport Card, Bravely, language courses.
**Requirements**:
- Excellent communication in English
- Previous experiences in Office management and HR admin
- Top-notch organizational skills and attention to detail
- Good communicator, easy to talk to, approachable
- Proactive, quick, and able to multitask
- Eagerness to work in a fast-paced, dynamic environment and to take on responsibility from day one and learn new things quickly
- Ownership
- Sense of urgency: you need to deliver your planned duties on an ongoing basis and also solve any ad-hoc needs, making decisions and prioritising
