The Office Manager will be the primary point of contact for internal and external parties of the organization, serving as a vital communication link for both clients and colleagues, ensuring a balanced and smooth communication and service level.
**About the job**:
- Administers and coordinates all activities within the companys headquarters (office).
- Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands
- Prepares and sends correspondence on behalf of the company.
- Organizes office operations and procedures and cooperates with needed suppliers
- Manage relationships with vendors, service providers, health & safety authorities and landlord, ensuring that all items are invoiced and paid on time
- Responsible for ensuring that office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise.
- Prepares forecasts for the acquisition of various materials
- Prepares and updates the inventory of assets and materials within the companys headquarters (office) as well as for office supplies
- Reviews and get approval for office supply acquisitions
- Manages internal staff relations
- Maintains a safe, secure, and pleasant work environment
- Organizes and schedule meetings and appointments upon request
- Prepares operational reports and schedules to ensure efficiency, or various reports requested by management
- Point person for HR and accounting related monthly matters
- Supports in planning the monthly work schedule and vacation planning.
- Obtains approvals for various situations arising within the office.
- Provide general support to visitors
- Handle customer inquiries and complaints

**Requirements for the position**:
- Minimum 3-5 years of experience in a similar role.
- BA in economics or legal - preferred.
- Proven office management, administrative, or assistant experience
- Knowledge of office management responsibilities, systems, and procedures
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problem solving skills
- Strong analytical, organizational and planning skills, logical and pragmatic personality.
- Professional Appearance and Behavior
- Capable of working in a fast paced, dynamic and growing environment
- Proficient in MS Office (Excel, Word etc).
- English proficient. German would be a plus.
- Highly organized
- Excellent communication skills (verbal and written)
- Effective interpersonal skills
