**About the job**
**Office Management Responsibilities**:
- **Payroll Administration**: Prepare and submit payroll reports, ensuring accuracy and timely processing of payroll-related tasks.
- **Recruitment Support**: Coordinate and assist with intern recruitment, including conducting interviews and handling administrative tasks related to onboarding.
- **Office & Legal Administration**: Oversee hub administration, manage legal documentation, and ensure compliance with internal policies.
- **Supplier & Office Management**: Manage office supplies, handle relationships with suppliers, process invoices, and ensure smooth procurement operations.
- **Team Coordination**: Organise team meetings, coordinate team-building activities, and support the overall cohesion and morale of the team.
- **Procurement Process**: Manage procurement activities, ensuring effective supplier management and adherence to purchasing policies.
- **Reporting Support**: Assist with the preparation and submission of annual reports and other required documentation.
- **Ad Hoc Support**: Provide general administrative and operational support as needed.
**Communications Assistant Responsibilities**:
- **Partner Call Coordination**: Organise and facilitate regular partner calls, ensuring effective communication and follow-up.
- **Event Reporting**: Assist in compiling reports for events, gathering necessary data, and providing timely updates.
- **Merchandise Orders**: Handle the ordering and distribution of merchandise for events and internal use.
- **Mailbox Management**: Manage the IH East mailbox, ensuring timely responses and clear communication with external stakeholders.
- **Event Support**: Provide logístical and administrative support for the planning and execution of events.
**What you will bring along the way**:
**Must-have**:
- A Bachelor or Master Degree in Economics, Social Science or similar.
- Written and spoken English (C1).
- Minimum 3 year of experience with the tasks of the job description.
**Nice-to-have**:
- Any additional EU language is a plus.
